You are a proactive, detail-oriented professional who brings structure to complexity. As the Tax Account Registration Specialist, you own the end-to-end health of our customers' tax profiles. You are a research-driven self-starter who loves breaking down complicated concepts into simple terms and solving problems with an automation-forward mindset. The Tax Account Registration Specialist, is responsible for the complete lifecycle management of tax registrations and third-party access (TPA) for our customers. This role involves cross-functional collaboration with the Onboarding, Payroll Tax Operation, Payroll Tax Notice and Customer Success Organization teams to gather necessary information, ensuring successful relationships with all stakeholders. A crucial function of this position is State Agency relationship management. The Specialist will combine operational expertise and problem-solving skills to efficiently resolve inquiries and issues while ensuring every tax profile is accurate, compliant, and prepared for seamless filing.

What You Will Work On
Own the end-to-end tax registration process for new and existing customers expanding into new states. This includes: Completing and filing all necessary Power of Attorney forms. End-to-end implementation of new customer profiles, including registering accounts for state-level unemployment, withholding tax, paid family and medical leave, and worker’s compensation agencies, as well as all applicable local-level wage and business taxes. Partner with state agency representatives to ensure proper account setup. Execute and complete TPA confirmation workflows, ensuring Justworks is properly linked to customer accounts for all required state agencies. Manage the queue of open issues to deliver timely and effective solutions regarding a customer's unemployment tax account. Collect and disperse registration confirmations, tax rates, and account IDs internally across systems, teams, and workflows to ensure tax filing readiness. Daily responsibilities include accurately inputting new customer and relevant tax data into the tax reporting and filing software, confirming its accuracy, and escalating any issues to senior team. Craft outbound emails to customers regarding required account information, following up via phone as needed to meet service level agreements (SLAs). Proactively identify opportunities to automate manual tasks, establishing new standard operating procedures to maximize efficiency. Contribute recommendations for improving the collection and tax remittance process as applicable. Act as a research owner by staying informed on state regulations affecting new registrations and documenting state-specific requirements to maintain compliance. Update state requirements and setup instructions as changes occur, ensuring all information is current, streamlined, and easy to follow. Remain informed regarding state regulations affecting new business registrations and account maintenance. Track trends identified within each state and proactively develop relevant responses. Conduct regular audits of account data and Third-Party Administrator (TPA) connections to identify unfiled returns or outstanding penalties before filing deadlines. Partner with Onboarding, Customer Success, and Payroll Tax Filing teams to resolve complex inquiries and integrate regulatory changes into documentation. Partner with the State unemployment claims team to ensure timely account updates for correct claim routing. Perform other related duties as assigned.
